Welcome Onboarding Email Templates 2024 

VISA Invitation Letter: we can help exhibitors with their application by issuing an Invitation Letter after they have registered to attend the event. On the registration form, they need to indicate that they need a VISA invitation letter and fill out their details. The VISA invitation letter will be available after they register on the Registration hub and exhibitors will also be able to download it from the confirmation email they receive after they register.

Exhibitor Portal Access

If you would like to log in to the Exhibitor Portal and access all the information exhibitors see when they log in, please use these login details:

How do exhibitors receive their login details? After signing their contracts and being confirmed internally by the Sales team, exhibitors will receive an email with their login details to access the Exhibitor Portal. This will take up to 1 week, max. If it's taking longer than that, please contact exhibitor@enlit-europe.com. Please note this will only happen from the moment the Exhibitor Portal is live, in April.

 

Help videos: We prepared short videos to guide exhibitors through their journey, showing what they need to do to prepare their stand or how they can use the tools available in the Exhibitor Portal to promote their participation.

Build-up & Breakdown

 

Registration for Build-up and Breakdown passes is mandatory

Exhibitors have to register for a Build-up and Breakdown pass via the link below; more information is available on 'My Stand'  > 'Schedule & Build-Up and Breakdown' page.

Early Build-up: Early Build-up is available upon request for stands with a surface over 36 sqm. Check more information in the Exhibitor Portal:  'My Stand'  > 'Schedule & Build-Up and Breakdown' page.

Please note:

  • Build-up and Breakdown registration is mandatory; check the Exhibitor Portal for more information.
  • All aisles have to be free of any obstructions on Monday, 21 October, as of 16h00.
  • After 8h00 on Tuesday, 22 October, no more work is to be carried out on the stands. Inspections will make sure all is clear and ready for the official opening at 9h00.
  • Personal items should be collected from stands and meeting rooms no later than Thursday, 24 October, 17h00 when the Breakdown starts.

Registration

Exhibitors, Sponsors and Partners can register for their Exhibitor Passes and upgrade to an Exhibitor Delegate pass via the Exhibitor Portal: 'Register & Invite' > 'Register my Staff'.

They can also get their custom invitation link to invite their network in the Exhibitor Portal: 'Register & Invite' > 'Invite my Clients'. This link will allow exhibitors to track the invites sent and follow up with those who accept their invites before the event starts.

The "Exhibitor Registration & Leads" Quick Guide includes detailed steps on how to do the above in the Registration Hub.

Cloakroom

There will be a cloakroom service available on the Exhibition Floor. It will be open during event days from 30 minutes prior to and until 30 minutes after opening hours. Please note that a fee of €2 per item will apply.

Floor Plan and Ducts

Enlit Europe 2024 important Please note that stands not located on a duct can’t take power from a duct in the aisle in front of their stand, but they will be provided with a ceiling drop. This will be provided by the venue and can be ordered in the Fiera Milano Exhibitor Services. It's possible to check the stands that require a ceiling drop on the floor plan (stands marked in red):

Parking 

Parking for Enlit Europe 2024 is available at the venue.
Access to the car park is free for loading / unloading, but it is mandatory to register before entry.
During event days, parking is subject to a fee.

Enlit Europe 2024 important icon IMPORTANT: registering vehicles to access the venue during the build-up and breakdown period or during the event days needs to be done via the Exhibitor Portal ('Parking' page).

 

Parking during Build-up & Breakdown 

CARS

  • Cars can enter the premises via CARGO 1 to access Halls 5/6/7.
  • Cars can park free of charge for unloading/loading at the loading bay of Halls 5/6/7. 
  • Access to the premises is free via CARGO 1, but it is mandatory to register before entry*.

Vehicles can only stay for a maximum of 2 hours around the pavilions for unloading/loading. 
Afterwards, all cars must be parked at Parking P4 - next to the East Gate entrance. This parking is subject to a fee and payment is made directly on-site. Prices are: € 14,00 - up to 4 hours; and € 20,00 - over 4 hours and up to a maximum of 24 hours.

TRUCKS & VANS

  • Trucks and vans can enter the premises for unloading/loading via CARGO 1.
  • Trucks and vans can park free of charge for unloading/loading at the loading bay of Halls 5/6/7.  
  • During breakdown, trucks are allowed on the premises and to enter the venue only from 18h30 onwards on Thursday 29 October.
  • Access to the premises is free via CARGO 1, but it is mandatory to register before entry*.

* Please note that Vehicle Registration will be available from the 5th of September.

CARS

  • Cars can enter the premises via CARGO 1 to access Hall 6 (only) and via CARGO 3 to access Halls 5 and 7.
  • Exhibitor cars can park at the loading bay of Halls 5/6/7. Please note that it is not allowed to park overnight.
  • The price is € 20,00 per day and tickets can be purchased online on the Fiera Milano webshop (accessible via the Exhibitor Portal > 'Parking' page).
  • Visitor cars must be parked at Parking P4 (East Gate) or Parking P3 (South Gate) during the event days.
  • Parking is subject to a fee and payment is made directly on-site. Parking P4 and Parking P3 are open 24h.
  • Prices are € 14,00 - up to 4 hours; and € 20,00 - over 4 hours and up to a maximum of 24 hours.

TRUCKS

Trucks can park outside of the venue in the available parking areas below.
It is not allowed to park around the pavilions.

Stand Information - Raw Space, Shell Scheme & Premium stands

Raw Space & Pavilion Raw 

For exhibitors who have reserved a Raw Space or Pavilion Raw stand at Enlit Europe 2024, only the space rental itself is included. 

  • It is mandatory to submit specific documentation to Abraxys Global, the Health & Safety Officer of Enlit Europe 2024. 
  • Exhibitors need to supply the Stand Plan and required documents* for inspection before the set deadlines by clicking below.
  • Exhibitors are responsible for building their stand, taking into account the building regulations stipulated by the organiser together with the venue.
  • All additional items, including rigging, electricity, cleaning and carpet, must be ordered separately via the Exhibitor Portal. 
  • If exhibitors need help with Stand Build & Design, they can contact the official stand designer of Enlit Europe 2024: Spiro - Enlit-CustomBuild@ges.com; Spiro can provide custom design solutions and turnkey services which include project management. It means that exhibitors are free from the worries of installing the stand, and managing and dismantling it once the event is over.

Exhibitors that have reserved a Shell Scheme Stand at Enlit Europe 2024 have the elements below included in their stand.
  • Shell scheme stand - Fasciaboard with name and booth number
  • White bilaminated panels (1 x h. 2,5 m)
  • Carpet flooring - 9 sqm - Black
  • Basic daily cleaning of stands during open daysShell scheme stands at Enlit Europe 2024

Electrical Equipment:

  • 1 LED spotlight every 3sqm
  • 1 electric outlet socket (3kW) with 4 plugs

Furniture:

  • 1 x Square table 
  • 2 x Chairs
  • 1 x Waste bin

 

Company name: The company name displayed on the Exhibitor Portal will be used for the fascia of the stand, unless agreed otherwise with the event stand builder by the set deadline.

Rules & Regulations

Clarion Energy Exhibit Rules & Regulations and Health & Safety are a binding and integral part of the exhibitor's contract with Enlit Europe 2024.

Enlit Europe 2024 has set standards which will safeguard the health and safety of any person working at or visiting our event.

According to the exhibitor's stand type, check the relevant information below.

We would like to stress the importance of carefully reviewing the below Rules & Regulations of the show, together with the Rules & Regulations of Fiera Milano di Rho in their entirety:

Enlit Europe 2024 important Important:

  • These Rules and Regulations are supplemental to the Terms and Conditions and both are incorporated into the contract made between the organiser and Exhibitor or Sponsor relating to the Exhibition.
  • The policies and procedures may differ greatly from other meetings or trade shows.
  • All exhibitors with a Raw Space stand MUST provide drawings of the proposed stand, for approval, as well as the necessary paperwork - check the 'Health & Safety' tab.

If exhibitors are not using Kuehne+Nagel as the freight forwarder, they should read the Shipping Instructions carefully to avoid any problems and that the freight forwarder applies the same deadlines. 

If exhibitors are not using the shipping services of Kuehne+Nagel, please take into account that neither Kuehne+Nagel nor Clarion Energy are responsible for any of the handling of the shipment or the storage of empties during the show period. Costs incurred from any items left after the end of the show which have not been picked up by the courier company will be charged to the exhibitor.
